Yearly Program Survey Checklist ( Word Format / PDF Format)
An Internal Review is conducted for every ACGME Accredited Program at the mid-point between a program's site visits from the RRC. When your program’s Internal Review is scheduled in the upcoming year, your Program Director will receive an email from Dr. Charles Brock (Chairman of IPRS Committee) 6 months before the Internal Review. The Internal Review needs to be completed and the RRC report sent in during the month that is stated on the current Accredition Letter of the program. You should post when this will occur so you and the Program Director can start working on the Review Materials 6 months before the Internal Review.
Three months before the Internal Review occurs, you will receive an email from the GME Office asking for 3 dates and times in the month that the Internal Review has to occur that your Program Director would like to schedule this 2-hour review. Once GME has this information, they will send requests to the Administrative Reviewers. When one of them accepts to review the program, he/she will select one of the dates and times that has been requested by your Program Director.
Your Program Director and you will be emailed as to when the internal review will occur. The GME Office will also secure a Program Director Reviewer and a Resident or Fellow Reviewer. So the review committee will consist of 3 doctors. The GME Office will inform you as to who these will be ahead of time.
You will need to secure a room for the Internal Review and notify the GME Office where it will take place.
In the mean time, you should be in the process of completing the review materials.
The Review Materials will consist of the forms (see links above) and other information that your program will provide, according to the initial email that is sent out to the program director 6 months before the internal review. These forms plus the other information are put together and 4 copies are made and delivered 2 weeks before the internal review to the GME Office. Four copies are required to be sent or delivered to the GME Office for distribution to the reviewers 2 weeks before it takes place.
Forms are: Core Competency Worksheet (This sheet helps you figure out how you measure your
program’s performance) You can check out more information about how to use this on the
ACGME website. You must fill out this form.
SWOT (The program’s Strengths, Weaknesses, Opportunities development, Threats) You must
fill out this form.

do not need to fill this out)
