Progress Toward Tenure Review Procedures

2018 Progress Toward Tenure Timetables

Introduction

As required by the University Guidelines for Promotion and Tenure, all faculty in tenure-earning positions are required to participate in a mid-tenure review. The mid-point is defined as “in the third year of tenure time earned.” This review is not be as extensive as the formal tenure review. It addresses achievements in the areas of teaching, research and scholarly activity, and service.
The mid-tenure review is conducted by the Department Chairperson, and Departmental Appointment, Promotion, and Tenure (APT) Committee. Faculty members in less than 1.0 FTE tenure-earning positions who wish to apply for promotion at the end of five years of employment are encouraged to participate in this mid-point review in the third year of employment. Faculty have the option of requesting an additional review by the Morsani College of Medicine (MCOM) APT Committee and College Dean.
The Department Chairperson, as well as the Office of Faculty and Academic Affairs (OFAA) will notify faculty when it is time to complete the process.

Faculty Responsibilities

Faculty will prepare a portfolio containing the following information:

  1. A brief self-evaluation of progress
  2. Copies of Assigned Faculty Duties for the entire tenure-earning period
  3. Copies of Annual Evaluations that include performance in teaching, research and scholarly activity and service
  4. Copies of student/peer evaluations of teaching
  5. Examples of teaching materials and scholarship
  6. Current CV

Completed portfolios will be submitted to the Department Administrator who is responsible for coordinating the department promotion and tenure functions

Department APT Committee

The Department APT Committee will review each portfolio. The Committee Chairperson will prepare and sign a narrative that encourages faculty who are making solid progress, instructs faculty who may need to improve in selected areas of performance, and cautions those where progress is significantly lacking. This narrative will become part of the portfolio.


Department Chair/Division Chief

The Department Chair/Division Chief will review each portfolio. The Department Chair/Division Chief will prepare and sign a narrative that is informative and encouraging to faculty who are making solid progress, Page 2 of 2 instructional to faculty who may need to improve in selected areas of performance, and cautionary to faculty where progress is significantly lacking. This narrative will become part of the portfolio.
The Department Chair/Division Chief will meet with each faculty member. The Department Chair/Division Chief will advise the faculty member on areas that are not meeting the expectations for successful progress. The Department Chair/Division Chief will offer assistance and develop a plan of action for the faculty to follow in order to make improved and significant progress towards earning tenure. The Department Chair/Division Chief will schedule regular meetings with the faculty to further discuss the faculty’s progress. The Department Chair/Division Chief will write and sign a brief summary of what was discussed at the meeting. This summary must be signed by the faculty member to acknowledge his or her understanding of what the expectations are.
If a College level review is not requested, the process is complete at this time. Department Administrators must submit a copy of the complete portfolio to the Office of Faculty and Academic Affairs. The portfolio will be placed in the faculty OFAA employee file.

College APT Committee

If a College level review is requested, the College APT Committee will review each portfolio. The College APT Committee Chair will prepare and sign a narrative that is informative and encouraging to faculty who are making solid progress, instructional to faculty who may need to improve in selected areas of performance, and cautionary to faculty where progress is significantly lacking. This narrative will become part of the portfolio.

Dean, Morsani College of Medicine

The Vice Dean for Faculty Affairs will review each portfolio with the faculty member, and will prepare a constructive narrative that is signed and given to the faculty member. This narrative will become part of the portfolio. The purpose of meeting with the Senior Associate Vice President for Faculty and Academic Affairs is to provide further clarification, identification of mentors, or further advice as appropriate.
