Advertising a Vacant Administration, Staff, or OPS Job

 
 
Who is Your Assigned Appointments Rep?  Who is Your Assigned Recruitment Rep? 
 
  • Develop specialized minimum and preferred qualifications for the job based upon the requirements listed in the job description. Substitutions (e.g., education or experience) for minimum qualifications must be advertised.
     
  • Selection criteria should be developed. Selection criteria are inclusive of minimum and preferred qualifications as well as other factors that would aid a hiring authority in making a selection.
     
  • We continuously advertise the following job titles and maintain a pool of applicants to use in lieu of advertising:
    • Physician's Assistant
    • Advanced Registered Nurse Practitioner
    • Biological Scientist
    • Chemist
    • Laboratory Technician
    • Sr. Biological Scientist
    • Sr. Chemist
    • Sr. Laboratory Technician
    • Clerical Aide

Determine if you want to use the pool of candidates for the jobs listed above. If so, state "yes" to use of the Open Pool candidates on the PAF.
 
  • Determine if Staff positions will be advertised as a promotional opportunity (see Advertising of Promotional Opportunities for Staff Positions)
     
  • Staff positions that have been designated as time-limited must be advertised as such. See the Time-Limited Appointment Terms and Conditions Statement.
     
  • Prepare and submit the Posting and Advertising Form (PAF) and submit it to Lori Withrow or Desiree Brown via email. All positions must be advertised for a minimum of 7 calendar days in the University Vacancy Listing.
     
  • HR must approve and process advertisements for inclusion in the local media. The hiring department is responsible for paying all costs associated with external advertising through its departmental budget. HR will assist in determining publication dates and obtain, at request, the cost of any advertisement placements.
     
  • We can also advertise online on free or for-cost sites. Please contact Lori Withrow or Desiree Brown to discuss the sites that will best fit your needs.
     
  • All Administration Director positions or Administration positions pay grade 5 and above must be advertised nationally. This requirement is satisfied by the University ads routinely placed by EOA in Women in Higher Education, Black Issues in Higher Education, Affirmative Action Register, and Hispanic Outlook. These ads refer potential applicants to the USF Vacancy Listing. The hiring authority may also advertise in other professional journals, etc., at their own cost, as appropriate.
     
  • Advertisements must be placed by the hiring authority in state or local women/minority sources for Administration in which there is underutilization of women and/or minorities (see EOA Manual of Media and Recruitment Sources).
     
  • Application deadlines and requirements listed in external advertisements must be consistent with those listed in the University Vacancy Listing.
     
  • A position must be readvertised if any of the following conditions of employment are modified: salary, FTE, deadline date, or required qualifications. The position must be readvertised in the same listings as the original advertisement for at least seven calendar days. To readvertise a position, complete a Change Request Form and submit to HR.
